About the Role:

The Office Associate/Receptionist is the central and initial point of contact for overseeing the organization’s office operations; greeting and assisting visitors and guests (either in person or over the phone); and coordinating services, deliveries, and office support with vendors, building management, couriers, etc. The scope of the organizations’ office operations covers the full range of facility functions including but not limited to:

  • Mail and package delivery management and distribution;
  • Office maintenance (supplies inventory and cleaning/repair services);
  • Records management (storage and disposition);
  • Office and building accessibility and security protocols; and
  • Conference room management; etc.

In addition, the Office Associate and Receptionist will provide backup administrative support to the People and Culture department’s recruitment team in scheduling candidate interviews.

This role requires working from the office at least two days per week. Over time, time spent in the office could increase based on meeting office requirements.

This position is part of the collective bargaining unit. 

What You Will Do:

  • Greet, assist, and provide direction and information to Leadership Conference staff, visitors, and guests.
  • Serve as principal liaison with building management to independently address and coordinate office suite requirements, requests, and visitor clearances. Represent the organizations during building management meetings and promptly report key takeaways and decision points from those convenings, elevating important items for consideration and proposing action items and/or next steps (as applicable).
  • Oversee the delivery and distribution of office mail, exercising independent judgment on what mail needs to be elevated for immediate attention and action. Ensuring that all mail representing funder/sponsor checks and correspondence is promptly delivered to the Development team.
  • Establish a tracking system for managing recurring office services and maintenance to ensure timely renewals and avoid service disruptions.
  • Determine, manage, acquire, and secure the full range and diversity of office supplies (e.g., materials, food and beverage, business cards, etc.).
  • Serve as the principal point of contact for vendors and monitor and track vendors’ certificates of insurance, ensuring that renewed certificates are promptly provided to building management.
  • Oversee the assignment, distribution, and deactivation of office fobs and keys.
  • Track assigned staff parking in the building and provide timely updates to parking garage management.
  • Regularly prepare and distribute staff communications regarding office and building updates and requirements.
  • Ensure timely submission of invoices – determine the process for tracking and follow-up to avoid late payments or suspended services.
  • Provide backup administrative support to the People and Culture department’s recruitment efforts (e.g., scheduling candidate interviews).
  • Perform other administrative duties as assigned.

What You Will Bring:

  • At least 3 years of relevant experience.
  • Experience in a non-profit environment preferred.
  • Strong Microsoft Office skills (Word, Excel, PowerPoint, and Outlook).
  • Strong verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Demonstrated ability to work collaboratively and inclusively.
  • Have an enthusiastic and motivated work ethic and strong interpersonal skills.
  • Ability to maintain confidentiality.

Salary Range – $65,379 – $70,078, dependent on years of related experience.

Currently, staff has the option to work from the office or home while we determine our long-term policy on remote and hybrid work. Please note this position is not permanently remote and over time the person filling this role may be required to work on occasion or regularly from the Washington, DC-based office.
